TBI creates more connection with mobile intranet
Discover how TBI fosters connectedness between business units when the majority of employees are never in the office
They noticed that 'departmental islands' had developed, and wanted to create more connection among their different units - but that didn't happen by itself. After all, how do you connect colleagues who are often on the go, and 80% of whom do not have a fixed workplace?
Challenges and objectives
The two questions that were central to the process with Plek were: How do you create more connection between different business units when most of your colleagues are on the road a lot? And how do you also ensure that colleagues feel involved and heard when they are spread across multiple operating companies?
Implementation
The implementation process was carefully tailored to the needs of each individual TBI operating company. During this process, objectives were formulated together with the implementation consultant from Plek, and the intended growth path was examined.
The communications department sat TBI Infra understood that the deployment of a new communications platform was not going to happen all by itself. They renamed the new platform 'the Keet' (instead of Plek), and put the platform on the map with a self-made funky rap.
Solution
Many TBI employees work "outside": as much as 80%. This means that 80% of employees do not have access to a fixed workplace. That's why TBI opted for its own Plek app, which it called "the Keet". The Keet became the home page for all office employees, and it also became available through Microsoft Teams.
With the flexible setup of the Keet, each colleague sees only the information needed for him or her, depending on function, operating company or project. An advantage of the app is that it invites TBI colleagues in an approachable way to actively participate in the interactive groups and discussions.
Because TBI works with different "companies," authorization and access was a key issue in the implementation. Plek makes it possible to support closed environments (per company) and connect only for authorized users, through an umbrella "parent platform." Currently, 10 operating companies are using their own Plek environment at TBI.
Results and advantages
Plek/the Keet has become an integral part of the internal landscape of TBI. With the Keet, TBI is able to reach all employees easily, and enthusiastic employees share updates on projects, expertise and knowledge. Processes around the application landscape have been optimized, and employees can find the information they need efficiently and quickly.
TBI has insight into what is going on in each operating company and how the corporate communications are being read. These insights give the communications department and leadership a complete picture of their target group and how they can keep them involved in the organization's strategy and goals.
With the Keet, interaction between the different companies and departments has increased enormously. Employees of TBI all have a personalized homepage, and the 80% of employees who do not or rarely work at a computer also have access via the TBI app for Android and iOS. Instant reactions and posts on the mobile app means that many project employees are actively participating in the Keet. Personalized groups within the intranet also provide more intensive contact between and across departments.
In construction and industry, safety is an important theme. Employees at TBI chose to devote prominent attention to this on their intranet by means of a safety calendar. Relevant safety information is now displayed daily in a fun way in the employees' calendars.
Via an umbrella platform, everyone within TBI can communicate with all companies at once, share information centrally and collaborate in organization-wide project groups. In addition, the Keet also provides access to HR tasks: The Keet gives every employee access to the applications they need, from requesting a day off to viewing the latest paycheck. At the same time, colleagues are effectively informed and can quietly review all (static) information in the knowledge base.

Conclusion
In addition, it becomes possible for the various companies to use a ‘Smart conversation’ of Plek to understand and compare the experience of their internal communications. This information provides clear insights into TBI colleagues' experience of internal communications, and is also useful to TBI's leadership. Indeed, these insights provide leadership with clarity about the challenges at work, invite leadership to actively share knowledge, and encourage them to seek collaboration with colleagues. Ultimately, these insights contribute to more engaged colleagues across all operating companies.
